Search for "fleet management software" and you mostly find GPS products. They're useful, but they don't answer the same question as cost and maintenance management. Many small and mid-sized fleets pay for real-time tracking when their real problem is knowing what each vehicle costs.
What a GPS or telematics system does
A device installed in each vehicle streams data continuously. Depending on the product, you get:
- real-time location and trip history;
- working hours and stops;
- driving behaviour: speed, harsh braking, idling;
- sometimes engine data and alerts.
It's essential when you dispatch in real time, need to prove hours of service, or want to reduce aggressive driving.
What a cost and maintenance tool does
It handles everything that happens around the road:
- receipts and invoices (fuel, repairs, tires, insurance);
- the true cost per vehicle and per kilometre;
- the maintenance schedule and renewal reminders (insurance, registration, inspection);
- each vehicle's documents;
- reports for your accountant.
Comparison table
| Need | GPS / telematics | Cost & maintenance management |
|---|---|---|
| Where are my vehicles right now? | ✅ | ❌ |
| Are my drivers driving safely? | ✅ | ❌ |
| What does each vehicle cost per km? | Partial (often without invoices) | ✅ |
| When is maintenance due? | Partial | ✅ |
| Where are the receipts and invoices? | ❌ | ✅ |
| What do I send my accountant? | ❌ | ✅ |
| Setup | A device in every vehicle | An app on the phone |
How to choose
Start with cost management if:
- you run a small or mid-sized fleet of service vehicles (plumbing, electrical, HVAC, maintenance…);
- your technicians leave in the morning and come back at night, with no real-time dispatch;
- your main pain is paperwork and budget.
GPS comes first if:
- you do delivery or on-demand service with live dispatch;
- you need to track hours of service or prove visits to customers;
- driving safety is a major issue (insurance, accidents).
Many fleets need both. The two tools complement each other: GPS knows where the vehicle is driving, the management tool knows what it costs.
Questions to ask before you buy
- Do you need to install hardware in every vehicle? How much per vehicle, and who installs it?
- How do drivers submit receipts and invoices?
- Does the price grow per vehicle or per user?
- Can you export the data (PDF, CSV) for your accountant?
- What happens to a vehicle's data when a driver leaves? See our guide on driver turnover.
- Is the tool available in your teams' languages?
Where CarFai fits
CarFai is a cost, document and maintenance tool, not a GPS. There's no device to install: drivers photograph receipts and invoices in the app, AI files them against the right vehicle, and you see each vehicle's true cost per kilometre. It works well alongside an existing GPS system.
